ClickUp Free vs Paid: I Ran My Business on Both, Here Is What You Actually Need

I ran my one woman business on ClickUp Free for months before upgrading. Here is exactly what the free plan covers, where it runs out, and who should pay.

Sunday night. 9:40pm. I was standing in the kitchen with my phone in one hand and a cold cup of tea in the other, trying to work out if I could justify another software subscription while the dishwasher groaned through its cycle.

I had been on ClickUp’s free plan for months. It was working. Mostly. But I kept hitting this one little wall, and that night I finally sat down to figure out whether the wall was worth $7 a month or whether I was just being precious.

If you are asking the same question, this post is the answer I wish I had found that night.

The short version

The free plan is genuinely good. Not “free trial pretending to be a plan” good. Actually good. If you are one person with one business and you mostly need tasks, due dates and a calendar, you can run your whole week on it and pay nothing.

You outgrow it in two specific places: storage and automations. When you hit those, the Unlimited plan at $7 a month (billed yearly) is the obvious next step. Almost nobody reading this blog needs the Business plan.

That is the summary. Here is the detail.

What the free plan actually includes

ClickUp calls it Free Forever and it covers more than you would expect:

Unlimited tasks. You will never run out of room for your to do list, which is more than I can say for my brain.

Unlimited members. If you ever bring on a VA or a partner, they can join without you paying a cent.

Kanban boards, list view, calendar view. The core ways of actually seeing your work.

Sprints, docs, chat, whiteboards. Honestly more than most solo owners will touch in year one.

When I wrote about how I finally got organised after years of chaos, I was on the free plan. Everything in that post was done without paying anything.

Where the free plan runs out

There are four limits that actually matter in real life:

100MB of storage. This is the big one. Attach a few brand files, some PDFs and a handful of images to your tasks and you are done. I hit this faster than I expected.

100 automation runs per month. Automations are the little robots that move a task to “In progress” when you change a status, or set a due date when a task lands in a list. 100 sounds like plenty until you build one automation that fires daily.

100 uses of custom fields. Custom fields are how you track things like “content status” or “affiliate link added yes or no.” The cap is on usage, and it sneaks up on you.

60 Gantt chart uses per month. If you do not know what a Gantt chart is, you will not miss it. I promise.

Notice what is not limited: tasks, people, boards, calendar. The free plan is not crippled. It is just small.

What $7 a month actually buys you

The Unlimited plan is $7 per user per month if you pay yearly, or $10 if you pay monthly. For that you get unlimited storage, unlimited custom fields, more automations, time tracking, goals and integrations without caps.

In practice, here is what changed for me after upgrading: I stopped thinking about the tool. No more “should I attach this or link it from Drive to save space.” No more rationing automations like wartime sugar. The system just ran.

That is what you are really buying. Not features. The absence of friction.

What about the Business plan?

Business is $12 per user per month billed yearly. It adds advanced dashboards, more automation capacity, workload views and proofing tools.

It is built for teams. If you are a solo blogger, a side hustler or a small service business with one or two people, you do not need it yet. Start lower. ClickUp makes it painless to upgrade later, and the money you save belongs in your business, not theirs.

There is also an AI add on called ClickUp Brain at $9 per user per month. My honest take as someone who uses AI every single day: try the base plan first and add Brain only if you find yourself wishing your task manager could summarise and write for you.

So which one are you?

Stay free if: you are brand new, you are testing whether ClickUp suits your brain, or your business is mostly tasks and deadlines with few attachments. There is zero shame in this. Free Forever means forever.

Go Unlimited if: you have hit the storage wall, you want automations doing your repetitive admin, or you are tracking anything with custom fields. At $7 a month it costs less than two coffees and saves hours.

Skip Business for now unless you are running an actual team with capacity planning problems. You will know when you are. It feels like herding cats with spreadsheets.

What your week looks like when this works

Monday morning, you open one screen and today’s tasks are already there, sorted, because an automation did it overnight. Client files live on the task they belong to. Nothing is in your head. Nothing is on a sticky note on the fridge next to the school permission slip.

By Friday you have not once asked “wait, where did I put that.” That is the whole point. Not productivity theatre. Just quiet.
